Job Summary
The Human Resources (HR) Coordinator plays a key role in supporting the day-to-day human resources and administrative operations for employees on UBC payrolll within the Providence Research (PR) community, including those affiliated with the Heart lung Innovation Centre (HLI) (formally known as James Hogg Research Centre), Providence Research (PR) facilitation office, Clinical Academic Research Groups (CARGs) and other assigned areas.
This position is responsible for managing the HR needs of over 250 individuals, including faculty, staff and trainees. The HR Coordinator provides comprehensive support in areas such as recruitment, onboarding, leader support, employee engagement,, HR system transactions, job description development, pay administration, and responding to employee inquiries related to appointments and performance management.
Organizational Status
Reports to the Research HR Lead, at Providence Research. This position collaborates with PR HR, PR finance, UBC Department of Medicine HR, and UBC Central HR team.
Work Performed
Coordinates all human resources activities across Providence Research for UBC employees including personnel at research Centres, Providence Research facilitation office and CARGs ensuring consistent and efficient HR operations that align with institutional policies and procedures.
Responsible for ensuring that UBC personnel activities are consistent with UBC, PR and PHC policies and procedures, working closely with UBC Human Resources and Faculty Relations personnel and communicating the expectations, procedures and objectives to the appropriate departmental members.
Providing HR advice on University policies, procedures and practices and interpreting agreements and handbooks governing conditions of employment for all employee groups, referring complex issues
Contributing to setting and implementing the strategic HR plans, goals and objectives
Assess Departmental practices, recommends improvements, and implements HR policies, practices, and procedures
Prepares draft job descriptions and assesses appropriate salary range for PGi and UBC employees. Follows up with UBC centralized Compensation & Classification services to finalize job descriptions and evaluations and obtain salary range approval and salary administration such as add pay and annual performance increases. Assists Principal Investigators with related budget and administration of research grants, including salary awards.
Provides advice and assistance in recruitment matters and is responsible for the hiring process within Workday
Supports hiring managers with recruitment once JD is approved, coaching managers on conducting interviews, supporting with interviews and interview preparation as needed, conducting reference checks and verbal offers as needed.
Responsible for the accurate preparation and approvals of all documents (paper or electronic) related to: employment offers, employment verification, salary changes, leaves, promotions, layoffs, resignations, retirement, transfers, promotions etc. and ensure that they adhere to the various employment agreements;
Partners with Central HR team members to troubleshoot, identify and implement changes to increase efficiencies and increase effectiveness as required;
Coordinates immigration requirements for UBC staff, students, visiting researchers, and faculty, working independently and in collaboration with UBC Immigration and relevant stakeholders. Provides guidance on departmental, UBC, immigration, and employment policies and procedures, ensuring compliance and consistency across all related activities.
Works closely with PR Finance Manager on analyzing and preparing all required finance forms related to staff, trainee and faculty appointments including salary documentation, faculty recruitment request forms,
Coordinates annual performance reviews and with guidance from the Research HR Lead, provides coaching to leaders on the process.
Liaises with Workplace Health Services team regarding employee claims, incidents, and graduated return to work requirements.
Assists in managing any wage subsidy programs available to staff and trainees at HLI and Providence Research, including applications, submitting claims and preparing required documents.
Regular consults with HR Lead and UBC HR departments on issues of concern and brings issues to their attention.
Attends designated UBC unit and PR human resources and/or operational meetings. Presents at meetings as required.
Performs other related duties as required.
Consequence of Error/Judgement
PR requires the work of the Research HR Coordinator to be completed at a high level of accuracy. The incumbent must exercise sound judgment in all administrative areas; have tact, be equitable and function openly, maintaining confidentiality internally (staff, students and faculty) and externally (vendors, granting agencies, etc.) He/she must be able to act independently in performing defined duties. He/she is required to alert the Research HR Lead of any unusual situations, which may affect the Institute, and keeps the Research HR Lead advised of problems that have arisen or that can be anticipated. Errors in HR administration of activities could cause hardship and damage the reputation of PR. Decisions regarding new and existing support staff influence the efficient daily operations of the Institute, and errors in personnel management could result in costly and time-consuming grievances and will affect staff morale and performance.
This position must use strong organizing and prioritizing skills to effectively and efficiently manage the area of human resources relating to all employee groups within their portfolio.
Supervision Received
Works independently while collaborating with other PR Human Resources team members and UBC departments as needed. Reports directly to the Research HR Lead.
Supervision Given
Provides supervision and guidance to personnel or trainees involved in human resources or financial matters, as needed. Assists in the training of new HR personnel and trainees to ensure consistency in practices and procedures.
Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of two to three years of related experience, or the equivalent combination of education and experience.
