Adecco is currently hiring a full-time Senior Office Administrator on behalf of our client. You will be a key on‑site presence, responsible for keeping daily office operations running smoothly while providing administrative support to senior leaders. This role is ideal for someone who enjoys being the go‑to person in the office, thrives in a professional and conservative environment, and takes pride in creating a welcoming, well‑organized workplace.  This role is primarily office‑focused, with approximately 75% office administration and coordination and 25% executive administrative support.

  • Pay Rate: $30 – 35 an hour (based on experience)

  • Location: Richmond Hill, ON

  • Shift: 8:30am – 5:00pm

  • Job type: Temporary | Full-time

Responsibilities:

Office & Front Desk Operations

  • Manage front desk and reception duties, greeting visitors and staff in a friendly, professional, and welcoming manner

  • Serve as the on‑site point of contact for all office‑related inquiries

  • Maintain a professional and organized office environment at all times

  • Order and manage general office supplies, snacks, and kitchen inventory

  • Troubleshoot basic office equipment issues, including printers

  • Ensure consistent on‑site presence, including Fridays, even during periods of lighter office attendance

Administrative & Leadership Support (Approx. 25%)

  • Provide administrative support to two senior leaders located in Ontario and Alberta

  • Manage calendars, travel arrangements, and expense reports with discretion and accuracy

  • Coordinate scheduling and meeting logistics in collaboration with the COO and the CFO’s Executive Assistant

  • Prepare, edit, and format PowerPoint presentations and other documents as required

Meetings & Event Coordination

  • Coordinate monthly all‑staff meetings, including:

    • Room setup

    • Supplies preparation

    • Coffee, snacks, and materials readiness

  • Organize and support office events, meetings, and internal gatherings

  • Assist with planning and logistics related to office initiatives

Communication & Culture Support

  • Serve as a friendly and approachable presence for staff

  • Support a culture of professionalism while being personable and helpful

  • Maintain a “how can I help” mindset—finding the right contact or solution when needed

Qualifications and Skills:

  • Proven experience in an office administration, senior administrative, or similar role

  • Strong organizational and time‑management skills with a high level of attention to detail

  • Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)

  • Experience with Deltek and/or Oracle is considered an asset

  • Comfortable providing administrative support to senior leaders with professionalism and confidentiality

  • Excellent interpersonal and communication skills

  • Solution‑oriented, approachable, and adaptable mindset

  • Personable, friendly, and professional demeanor

  • Proactive and service‑driven approach to work

  • Comfortable working independently in a quiet, focused office environment

  • Reliable and consistent on‑site presence

  • Calm, flexible, and resourceful when priorities shift

  • Must be legally eligible to work, and reside in Canada
